Set a 2027 budget you can actually keep
One monthly number per category, a transaction log, and a dashboard for income, spending, and what is left. No twelve different budgets.
A yearly budget fails when every month is a special case you never typed in. January has gifts you forgot, March has a car repair, and by June the spreadsheet is a museum. For 2027, use one monthly amount per category and multiply by twelve. That is a blunt tool. It is also a tool you will still open in October.
This walkthrough is that system. The workbook that matches it has the same limit on purpose: version 1 cannot store a different budget for each month. Annual budget is monthly times twelve. If you need a heavy December and a light February as separate plans, this is the wrong file. If you want one plan you can compare every month against, keep reading.
Categories you can log to
Start with fewer than fifteen. A category is something you will actually choose from a dropdown on a Tuesday night.
A workable household list:
- Pay (and any other income you can count on)
- Rent or mortgage
- Utilities
- Groceries
- Eating out
- Transport
- Health
- Kids or family
- Subscriptions
- Fun
- Savings transfer
- Everything else, named “buffer,” not “misc” with no ceiling
Give each spending category one monthly budget number. Rent might be 1,600 every month. Groceries might be 500. Do not leave a category blank and hope. Blank means zero, and zero will mark every grocery trip as over budget, which teaches you to ignore the sheet.
Income gets a monthly number too, using what usually arrives, not the best month you ever had. If your pay varies, use a low typical month. The dashboard is for steering, not for wishing.
The transaction row
Every movement of money you care about is one row.
| Column | Example | Note |
|---|---|---|
| Date | 2026-11-08 | Posted date is fine |
| Account | Checking | So a transfer is not an expense twice |
| Category | Groceries | From the list. No new spelling each time |
| Payee | Market | Short |
| Amount | 64.20 | Spending as a positive number if that is how your sheet is built. Be consistent |
| Note | Week shop | Optional |
A transfer to savings is not spending. Give it the Savings category and decide in advance whether “spent” on the dashboard includes it. The cleaner choice: spending is what left your life, savings is what you kept on purpose. Then net savings is income minus spending, and the savings transfer is how you moved it. Do not subtract the transfer a second time or you will think you saved twice.
Dropdowns exist so “grocery,” “groceries,” and “food” do not become three budgets.
What the month should show you
You need five readings, not a novel.
- Income
- Expenses
- Net (income minus expenses)
- Savings rate, if you define it as net divided by income
- Over or under budget, by category and in total
A chart of spending by category tells you whether the buffer ate the month. It does not need to be beautiful.
Worked month, one person, simplified:
| Category | Monthly budget | Actual |
|---|---|---|
| Income | 4,200 | 4,200 |
| Rent | 1,600 | 1,600 |
| Groceries | 500 | 610 |
| Transport | 180 | 140 |
| Everything else budgeted | 900 | 860 |
Expenses actual = 1,600 + 610 + 140 + 860 = 3,210. Net = 4,200 − 3,210 = 990. Savings rate = 990 / 4,200, about 24 percent. Groceries are 110 over. Transport is 40 under. “Under” in one category does not automatically forgive “over” in another unless you decided that in advance. Otherwise you will move the grocery overage into transport every month and learn nothing.
The annual view of this plan is the monthly budget times twelve. Groceries planned for the year are 6,000, not “500 most months and 800 in December” unless you raise the monthly number so the year includes December. That is the tradeoff. You can raise groceries to 550 so December fits inside the same monthly figure. You cannot, in this version, type 500 for eleven months and 800 for one.
A Sunday close that fits in twenty minutes
- Download or export the week’s transactions, or type the ones over a threshold you chose (many people ignore nothing over 20 and type the rest).
- Anything without a category gets one before you close the laptop. Uncategorized money is how the dashboard flatters you.
- Read over-budget categories only. Under-budget can wait.
- If a category is over for the second month, change the monthly number or change the behavior. Do not add a new spreadsheet.
- Once a quarter, look at the annual column (monthly times twelve) against what twelve months of actuals are trending toward. That is the only yearly question.
If you share money with a partner, one person logs, the other reads the five numbers. Two people typing into two copies will not reconcile.
Limits, stated plainly
This will not connect to your bank unless you connect it yourself by typing or importing. It will not do taxes. It will not set a different budget for each calendar month. Annual equals monthly times twelve. Irregular bills (insurance, annual subscriptions) need a monthly set-aside inside a category, or they will look like a crisis in the month they hit.
English and Chinese workbooks can follow the same structure. Formulas only, no macros. The file should open in Google Sheets, Excel, Numbers, and WPS. If a chart breaks after a convert-to-Sheets step, check that the category range still points at your list and not at a leftover sample row.
The 2027 budget workbook that matches this method sets categories and one monthly budget, logs transactions with dropdowns, and fills a dashboard: income versus expenses, net savings, savings rate, over or under budget, and spending-by-category charts. It includes an English file and a Chinese file. It will not store twelve different monthly budgets. The link is in the box below.
